Buying a vehicle for work

Almost nothing that decides whether a work vehicle was the right one is visible on the lot. Here are the considerations arranged by roughly when they announce themselves, because the ones that arrive late are the expensive ones.

A personal car gets judged on how it feels. A work vehicle gets judged on whether it makes the job easier forty times a day, and that's a question you can't answer standing next to it. So rather than a list of criteria, here's a list of discoveries — the things people tell us about after the fact, tagged with roughly when they surfaced.

The timing labels are our observation from the lot, not a study. They're approximate on purpose. What matters is the ordering: the cheap realizations come first, and the expensive ones take months to arrive.

Week 1

Liftover height

How high you raise a load to get it over the sill and into the vehicle. Nobody measures it and everybody feels it. A van with a low floor and a crossover with a high tailgate lip can have identical cargo volume and completely different days attached to them, and your lower back keeps the score. If you load heavy things repeatedly, measure the sill height on every candidate and treat it as a primary specification.

Week 2

Shape, not volume

Cubic feet is a number that tells you almost nothing. What matters is whether the specific things you carry fit: the length between the wheel wells, the width of the door aperture, the height under the roof at the back, the flat length with the seat down. A sheet of plywood, a ladder, a dolly, a stack of cases — bring the real object to the lot and put it in, or measure it at home and bring a tape.

Month 1

Fuel as a fixed cost of doing business

A work vehicle's mileage happens whether or not the month was good. It's a cost of revenue rather than a lifestyle expense, and it's the reason the cheapest vehicle to buy is frequently not the cheapest vehicle to run. If the miles are high and predictable, the arithmetic in the long-commute piece applies directly here.

Month 1

Where it doesn't fit

Parking decks with clearance bars. The garage at home once there's a roof rack on it. A residential driveway with a slope that a long wheelbase scrapes on. The client's underground lot. Height and length are the two dimensions that quietly remove destinations from your map, and a ladder rack or a cap changes the answer after you've bought. Know your actual height with equipment fitted, and know it as a number.

Month 2

Tires that match the way you load it

A vehicle carrying weight all day is a different tire problem from the same vehicle empty. Check the placard on the driver's door jamb for the size, load and pressure the manufacturer specifies, and check what's actually mounted against it. Passenger-rated tires on a van that works at weight wear quickly, feel vague and run hot. This is cheap to get right at purchase and annoying to discover on the Turnpike in August.

Month 3

How your insurance classifies what you're doing

This is the one that costs people the most and gets asked about the least. Personal auto policies and commercial ones are different products, and how a given policy treats a vehicle used for business — carrying tools, carrying goods, carrying paying passengers, lettered with a company name — is a question for your agent about your policy.

Ask before you buy, describe the actual use honestly, and get the answer in writing. Don't take our word for it and don't assume it's covered because it always has been. Finding out at claim time is the worst possible moment to find out.

Month 3

The interior you get in and out of all day

Forty entries and exits a day makes seat bolsters a consumable and step height a real ergonomic decision. Cloth holds everything that falls on it; vinyl and rubber wipe. Floor mats that come out and hose off are worth more than a trim level. And a passenger seat that folds flat becomes a desk, which nobody plans for and everyone uses.

Month 6

Wear on a schedule set by weight

Brakes, suspension, tires and the drivetrain all wear on a calendar written by how heavy the vehicle is when it moves, not by the odometer. A loaded vehicle stops longer and wears faster, and the service budget that was estimated from a family car's experience is going to be wrong in one direction only. Budget for it before it happens rather than absorbing it as a series of surprises.

Year 1

Downtime is a revenue number

When the work vehicle is in the shop, the work stops. That converts reliability from a preference into a line item, and it changes what you're willing to pay for a common model that any shop can service quickly over something unusual that has to wait on a part.

It also makes a plan worth having in advance: who you'd borrow from, what a rental would cost, and whether the job can be done for two days out of a different vehicle. Everyone works this out during the breakdown instead.

Year 1

Lettering, and what it does to resale

Vinyl lettering is cheap advertising and it comes off — but what's under it has aged differently from the paint around it, and adhesive on a weathered panel doesn't always release cleanly. Magnetic panels avoid the issue and fall off at highway speed if the surface isn't right. Worth a decision rather than a default, because a plain white van sells to everybody and a van with a ghost of someone else's phone number on it sells to fewer.

Year 2

How you bought it, and in whose name

Whether a work vehicle is titled to you or to a business, how it's financed, and how it's treated at tax time are questions with real consequences and no single right answer. We're a car lot — we sell the vehicle, we don't do your taxes, and we're not going to state tax rules we'd be guessing at.

What we will say is that this is much easier to arrange before the purchase than to unwind after it. A half-hour with your accountant beforehand is the cheapest part of the whole transaction.

The towing number on the brochure isn't your towing number

Maximum tow ratings are published for a specific configuration — engine, axle ratio, package, sometimes cab style — and a vehicle that looks identical may be rated differently. Find the actual specification for the actual vehicle, from the manufacturer, rather than from a headline figure.

And tow rating is only half the question. Payload is the other half, and passengers, tools, fuel and the trailer's tongue weight all come out of the same allowance. The certification label on the door jamb is where a specific vehicle's numbers live. Read it before you assume.

What we'd do differently if we were buying one

Take the tape measure and the actual objects. Measure the sill, the aperture, the flat length and the height with everything fitted. Call the insurance agent from the lot, before the deposit, and describe the real use. Read the door jamb placard rather than the brochure. Pick the boring, common model that three shops within ten minutes have all worked on.

And buy for the work you have. The temptation with a work vehicle is to buy for the job you're hoping to land next year, which is how people end up paying for capability they never use and driving something that fits nowhere. If that job arrives, it will pay for its own vehicle.

Tire load ratings, payload, towing capacity and axle weights are published by the manufacturer on the vehicle's certification label and in its documentation — read those for your specific vehicle. Insurance coverage for business use depends on your policy and carrier; ask your agent, not a dealership. Tax treatment is a question for your accountant.
